Agape Christian Academy ("we," "us," or "our") operates the Agape Athletics Portal ("Portal") to manage athletics registration, communication, scheduling, and compliance for our school athletics programs. This Privacy Policy describes how we collect, use, and protect your information.

Information We Collect

Account information: name, mobile phone number, email address
Player information: student name, grade, date of birth, emergency contacts, medical information (allergies, conditions, medications), physical exam records
Registration data: sport selections, consent form responses, volunteer preferences
Payment information: transaction records processed through Stripe (we do not store credit card numbers)
Communications: messages sent and received through the Portal

How We Use Your Information

Manage athletics registration and eligibility
Send SMS messages including login codes, schedule reminders, game notifications, broadcast announcements, and registration/payment confirmations
Facilitate communication between coaches, parents, and the athletic director
Track compliance requirements (physicals, consent forms)
Process registration fees

SMS/Text Messaging

By providing your mobile phone number and opting in during registration, you consent to receive text messages from Agape Athletics Portal via Twilio. These messages may include:

Login verification codes
Practice and game schedule reminders
Game-day notifications (delays, cancellations, location changes)
Broadcast announcements from coaches and the athletic director
Registration and payment confirmations

Message frequency varies. During active sports seasons, expect approximately 2 to 10 messages per week.

Message and data rates may apply. Check with your mobile carrier for details about your text messaging plan.

You may opt out of text messages at any time by replying STOP to any message. After opting out, you will receive a one-time confirmation message. You will no longer receive SMS messages but may still access the Portal via web browser. Reply HELP for assistance, or contact us at athletics@agapeca.com.

Phone Number Privacy

We do not sell, rent, share, or trade your mobile phone number with third parties for promotional or marketing purposes. Your phone number is used solely for Portal authentication and athletics-related communications as described above. Phone numbers may be shared only with our SMS service provider (Twilio) for the purpose of delivering messages.

Medical Information

Player medical information (allergies, conditions, medications) is collected for safety purposes during athletic activities. This information is visible to the athletic director and is only shared with coaches when the parent or guardian explicitly enables sharing through the Portal. Medical information is never shared with other parents, players, or external parties.

Data Sharing

We do not sell your personal information. We may share information with:

Service providers: Twilio (SMS delivery), Stripe (payment processing) — only as necessary to operate the Portal
School administration: as required for student eligibility and compliance purposes
Legal requirements: when required by law or to protect the safety of our students

Data Retention

Account and registration data is retained for as long as your student participates in Agape athletics programs, and for a reasonable period afterward for record-keeping purposes. Communication records are retained permanently and cannot be deleted, in accordance with our child safety policies.

Security

We use industry-standard measures to protect your information, including encrypted connections (HTTPS), secure authentication via SMS magic links (no passwords stored), and role-based access controls within the Portal.
